Configuring Data Backup

A reliable backup mechanism is crucial in restoring your data during crises. Zoho Vault allows you to securely back up your data to your email or cloud service (including Amazon S3, Box, DropBox, Google Drive, OneDrive, and Zoho WorkDrive). An encrypted HTML file is sent periodically to the users. Admins can allow all or specific users from their organization to utilize this feature by completing a one-time setup. 

How secure is the data backup?
The encrypted HTML file you receive can only be accessed using your master-password. Even if someone gets access to these encrypted files, they will be unable to decrypt them without the master password. There are two ways in which you can back up your data:

  • Data backup via email
  • Cloud backup


Configuring data backup to your email

  1. Select Settings from Zoho Vault, then click Data backup from the Admin configurations section
  2. Enable backup, then select whether you would like to receive Daily or Weekly backup copies of your data to your email. 
  3. Enable Back up only the passwords owned, then click Save.

Cloud backup
Allow your users to receive periodic backup copies of their Zoho Vault data to their cloud accounts. 

Pre-requisite:
Users need a valid subscription with the corresponding cloud service for this feature to work.

Configuration steps

  1. Select Settings from Zoho Vault, then click Data backup from the Admin configurations section
  2. Enable backup, then select the cloud storage service of your choice (Amazon S3, Box, Dropbox, Google Drive, or OneDrive)
  3. Complete the necessary configuration to fill the client ID and client secret from the cloud storage service to their corresponding fields in Zoho Vault.
  4. Click Save and enable
  5. Select to receive backup copies of your data Daily or Weekly to your cloud accounts, then click Save.

Connecting your cloud accounts with Zoho Vault


  1. Select Settings from Zoho Vault, then click Cloud storage from the User configuration section
  2. Select the cloud service of your choice, then click Generate token to link your cloud account with Zoho Vault.
  3. Grant the required permission, then click Save.

Excluding specific users from receiving backup
By default, the encrypted backup file will be sent to all users in your organization. You can exempt specific users from receiving backup copies of their data by following the below steps:

  1. Select Settings from Zoho Vault, then click Data backup from the Admin configurations section.
  2. Select Manage exemptions.
  3. Select which users to exclude from receiving periodic copies of their Zoho Vault data, then click Save.



A word of caution:
Once the encrypted file is emailed, admins will not have any control over access to the backup data. Whenever a team member with access to your enterprise data leaves your organization, we highly recommend that you reset your passwords. We also recommend that you prevent users from getting a copy of the passwords shared with them by enabling Back up only the passwords owned from the Data backup page.
