Create and Manage Jobs

In any organization, Jobs are the most important records to generate the real revenue for the organization. Jobs are typically a requirement from a Client. Once a client raises a requirement, Temps are assigned to that Job and the whole Staffing process starts.

Availability
Profile Permission Required: Access to the Jobs Tab that includes View, Create, Edit, Share and Delete permissions.

Jobs Home Page

Click the Jobs tab to view the Jobs Home page and perform the following operations:

  • The records are displayed in List Views. Define your own Custom Views as per your requirements. Some system defined list views are already available, such as My Jobs, Ending This Month, Recently Created Jobs, Hot Jobs etc.
  • Mass delete the records by selecting the check boxes corresponding to the records and clicking on the Delete button.
  • Use the More icon to perform some common operations to manage jobs. For example mass transfer, mass delete.
  • Search records by alphabetby information, or by criteria.
  • Filter deals based on priorities using the advanced filters.
  • Print the jobs along with the necessary details.

Create Jobs

In Zoho Workerly, you can create jobs by:
  • Entering data in the job details form: You can manually fill in the Job details gathered from various external sources.
  • Importing jobs from external sources: You can gather data from various sources and import the CSV and XLS files into Zoho Workerly.

Note

  • Some of the standard fields may not be visible or editable depending on your organization business process and field-level security settings.
  • In case you want to add or modify fields or would like to know more details on the usage of fields, please contact your System Administrator.

Create Jobs Individually

You can create jobs individually by:

  • Filling in the details in the jobs creation form.
  • Cloning the job with a few changes from the existing job details.

To create jobs individually

  1. In the Jobs module, click Create Job.
  2. In the Create Job page, enter the job details.
  3. Click Save.

To clone job:

  1. In the Jobs tab, click a particular job that is to be cloned.
  2. In the Job Details page, click More icon > Clone.
  3. In the Clone Job page, modify the required details.
  4. Click Save.

List View

The Jobs list view displays the jobs one after the other in rows and columns. The list view is helpful when you wish to see the maximum details of your jobs at one glace. For example, you wish to see the jobs, the job owner, billing duration, date, etc you can customize the list view columns and view all the jobs and their details in a single page, one after the other.

Work with the Jobs Details page

Once you have created a job, you can view the details of the job in the record's details page. The details page of a job presents information related to the job - for example, clients and contacts related to the job, invoices, timesheets, notes, events, emails and so on - in a single location.

To view the job details page

  1. Click the Jobs module.
  2. Click the desired job from the Jobs list view.
  3. You will see the details page of the job.
  4. Switch between the Info and Timeline views.
  • Info - Displays related lists and links associated the job
  • Timeline - Displays a history of actions performed on the job's details page.
  • Edit - Allows you to edit the record.
  • More icon - Displays further options that you can perform for the account.
  • Business card view: View top 5 fields related to the account. You can customize the business card view a job.
  • Related Lists Section- Navigate to the desired related list from this section. You can add a new related list as well as add new entries to an existing related list from this section.
  • View related information such as Next Action and Contact details.

Associate Jobs with Other Records

You can create a 360-degrees view of the job to display all the associated details, such as contacts, attachments, and notes.

In the Job Details page, you can update the following:

  • Attachments: To attach documents
  • Notes: To add notes
  • Open Activities: To create tasks and events
  • Closed Activities: To display the completed tasks and events
  • Assigned Temp(s): The temp for this particular job vacancy
  • Job Status: The current status of this job
  • Emails: To send emails to the primary contact of job
  • Job Rate: To create the invoices to the client

Note

  • For users who have activated the Zoho Mail Add-on - From a job, if you send an email to the related contact, the email will be associated and listed under the contact's Email Related Lists.
    Also, the email will not be listed under the Sent Emails from Workerly. From the drop-down, you need to select the user's name who sent the emails to view them.
  • When you send mass email from jobs, the email will not be associated with the related contact.

Assign Temps to Jobs

This feature enables you to assign temps to jobs.

To assign temps with jobs:

  1. Click the Jobs tab.
  2. In the Jobs Home page, select the required job.
  3. In the Jobs Details page, the assigned temps, if any, are displayed.
  4. Click Assigned Temps on the left panel and do the following:
    • Select the candidates to be assigned. Click the + icon.
    • Click Assign and Notify.

Note: For Zoho Workerly to suggest you Temps, the Temp's Current Title and the Required Job Title (in the Jobs module) should be the same.
