Create and manage layouts

Create your own custom layouts, associate it with relevant projects, and get your work done effortlessly. 



  • Available: Professional
  • Accessibility:  Only the Team Owner, Admin, and Manager can create, edit, and delete a layout. Members can't access this feature.
  • Limit: You can create only a maximum of 25 layouts. 

Create custom layout

  1. Navigate to    in the upper-right corner.
  2. Select  Work Items from Custom Layouts and Fields.
  3. Click + Layout  in the upper-right corner.
  4. Choose the layout that you wish to clone from Clone Layout
  5. Enter the Layout Name and Description.
  6. Click Create.
Tip:  You can either clone a standard layout or an existing custom layout that you have already created.

 
Standard Layout:  A standard layout contains the default fields that you see in the work item form. By default, all the projects in your team will be associated with the standard layout. You cannot edit or delete the standard layout and the default fields in it.  

Custom Layout:  A custom layout is the one that you create to projects that carry specific requirements. 

Associate projects to layout

Once you have successfully created a layout, you can start associating the layout to a project or project template.

3 different ways to associate a project

In Zoho Sprints, you can associate a project in three different ways to a layout. 

Associate projects from layouts section 
  1. Navigate to    in the upper-right corner.
  2. Select Work Items from Custom Layouts and Fields.
  3. Select + at the bottom end of the layout. 
  4. Select the projects that you want to associate. 
  5. Click Associate
You can also associate a template to a layout. 

Associate projects from the other actions icon in the layout
  1. Navigate to    in the upper-right corner.
  2. Select  Work Items from Custom Layouts and Fields.
  3. Choose    in the right corner of the layout. 
  4. Select Associate
  5. Select the projects that you want to associate. 
  6. Click Associate.
What happens when I associate a new layout?

The current layout of the projects will be overwritten. All the existing fields in the previous layout will not be available in the current layout. However, the data stored in those fields will be not be lost. You can retrieve the details by associating it back to the same layout. 

Associate projects inside the layout details
  1. Navigate to    in the upper-right corner.
  2. Select  Work Items from  Custom Layouts and  Fields.
  3. Select the layout to associate the projects. 
  4. Click in the upper-right corner next to  Associated Projects.
  5. Select the projects that you want to associate. 
  6. Click Associate.
Tip:  It's difficult to search and associate a particular project from a list of 50 projects in your team. However, you can enter the project or template name that you want to associate in the Search box and then select the particular project to associate with the layout.  

Edit a layout

  1. Navigate to    in the upper-right corner.
  2. Select Work Items  from Custom Layouts and Fields.
  3. Choose the layout that you want to edit.
  4. Click    in the right corner of the layout. 
  5. Select Edit
  6. Update the layout details.
  7. Click Update.

Delete a layout

  1. Navigate to    in the upper-right corner.
  2. Select  Work Items from  Custom Layouts and Fields.
  3. Choose the layout that you want to edit.
  4. Click    in the right corner of the layout. 
  5. Select Delete

View layout activity

Layout activity fetches all the latest updates in the layout. This is nothing but an 'Activity Stream' of your layout. You can keep a track of all the activities carried on a particular layout, anytime. 


  1. Navigate to    in the upper-right corner.
  2. Select Work Items from Custom Layouts and Fields.
  3. Choose the layout that you want to edit.
  4. Click    in the right corner of the layout. 
  5. Select Activity.

Available fields in a layout

 You can view the 'Available Fields' next to the Custom Layouts
Available fields fetches the used fields vs the available fields across the layouts. (For example: Single-Line Text shows 2/50 , then you have a total of 50 available fields from which you have used only 2 fields.)
Based on the used vs available fields, you can add new fields to your layouts. If the maximum limit is reached, then that particular field will be greyed out inside the layouts.
