Employee File Management


In Zoho People, an employee can view and refer to documents in three sections: organization files, employee files, and personal uploads. 


All the files can be viewed in either a list or a folder view.

Organization files 

Company-wide policies that are applicable to an employee can be viewed in this space. 

To access an organization file:
      1. Go to Files and then Organization Files. 
      2. Click on the file in the list view or click on the folder and then click on the specific file in the folder view.


 
The filter can be used to refine the search based on file name, folder, file view, modified date, or file format. 

Employee Files 

Documents containing sensitive information and files specific to employees can be viewed under Employee Files.


To access an Employee File:

      1. Go to Files and then Employee Files.
      2. View files shared with the employee under Shared with Me.



      3. View files shared with the employee's role under Shared with my Role.



Personal Uploads

This space is exclusively for employees' documents. The personal uploads can be accessed only by the employees.

Even the admins do not have access to anyone's personal files. Typically, an organization is given 1 GB of personal uploads space.
This space is divided among the employees, who can store their personal documents and files like their driver's license, passport, etc.

To add Personal Uploads, 

      1. Navigate to Files and then Personal Uploads.


    
      2. Click + Add.




      3. Upload the file.
      4. Enter a name and description.
      5. Click Submit.

Access to employee files and personal uploads is based on permissions configured by the admin.
