An Estimate provides a ballpark figure for how much it would cost to provide the services asked for in a Request. Once a request is approved, the estimate can be created for the request. Based on estimate, the customer can decide whether to proceed with the service request or not. The customer can either accept or reject the estimate in the portal.
Add Estimates
To create an estimate:
- An estimate can be created in one of two ways:
- Select the Requests module and click the request you want to create the estimate for. In the Request Details page, click the transition Convert to Estimate displayed in the blueprint pane.
Select the Estimates module and click New Estimate.
Perform this step if you are creating an estimate from scratch (without a request).
- Enter the following details* and click Save:
- A Summary of the estimate
- An Expiry Date until which the estimate will be valid
The Customer (if applicable) whom the estimate is being created
This field will be displayed if options 1, 3, or 4 are chosen for mapping the entities in Zoho FSM with those in
Zoho Books. You can perform an advanced search for customers by clicking the Search Customer [

] icon.
The Company (if applicable) the customer belongs to
This field will be displayed if options 2, 3, or 4 are chosen for mapping the entities in Zoho FSM with those in
Zoho Books.
A Service Address
This is the address of the customer's location where the service task needs to be carried out. If a Service address exists for the customer, then on selecting a value in the Customer field, that address is filled in the Service address field. If the Service address does not exist then you can choose any other address available for the customer or click Create New.
On clicking Create New, the Add Address overlay will be displayed. To add a new address, enter the details and click Save.
The Create New option will be available in the Service Address field if the following setting is in place:
- Navigate to Setup > Customization > Layouts.
- Select Estimate Edit section.
- Click more options [
] icon for Service Address field and click Edit.
- In the Service Address properties pop-up, select the checkbox for Enable Quick Create and click Save.
- A Billing Address
- The Territory in which the customer is located
An Asset
An Asset is added when the service is for a product that you have sold.
- A Preferred Slot for the service call.
A Preferred Start Time and a Preferred End Time for the service call.
You can customize the Preferred Slot field to include new groupings. To do so, follow the steps below:
- Navigate to Setup > Customization > Modules and Fields and click Requests module.
- Click Standard layout.
- Click more options [
] icon for Preferred Slot field and select Edit Properties.
- Add new values for Pick List Properties and click Done.
- Save the changes.
- Any additional Preference regarding the preferred time
- Entries for Service Tasks
These denote the services that have to be delivered for the request for which the estimate is being created. The Services added in Services And Products module will be listed here. The entries for Parts will be automatically populated for a service if it is linked to a work type.
Select a Tax Rate or choose non-taxable by providing a reason. Click here to find details about setting the tax rates. Enter a percentage for the discount you wish to offer or a discount amount. - Add the Parts necessary for the service tasks.
For Service, select the Service task for which the Part has been added. Select a Tax Rate or choose non-taxable by providing a reason.

The estimate amount can be viewed in the estimate details page. Once the estimate is created, it can be mailed to the customer.
Once the estimate is accepted by the customer, then a work order can be created with the information in the estimate. Refer to
this section for mapping details. Any Requests and Work Orders created for this Estimate will be displayed in the
Estimate Details page.
