Zoho Campaigns enables you to import end users from Zoho Desk as contacts. You can import verified and unverified emails from your account. There are options to import end-users from specific organization or tags.
There are two steps to sync your Zoho Desk with Zoho Campaigns,
- Set up Sync by entering details covering which contacts you want to import and configure your sync period.
- Map Zoho Desk fields with Campaigns fields.
Set up Sync
- From the Navigation toolbar, select Contacts and choose Sync Services.
- Click Add New Sync button.
- Choose from the following options,
- Contacts: This option will import all verified or unverified email addresses from your Zoho Desk account.
- Account: This option will import contacts from all Accounts of your organization.
- Enter the following details in sync details page,
- Sync name: A name for your identification.
- View: Choose if you want to import All contacts/Account or custom view of Contacts or Account. Incase of custom view, you should select the custom view with which you want to sync
- Sync to: Choose a mailing list.
- Select a sync frequency to retrieve data once or to recur on a daily, weekly, or monthly basis.
Choose to retrieve:
- All data: Imports all customers from Zoho Desk .
- Data added after a specified date and time: Imports only customers that have been added after the specified date and time.
- Click Next.
Usecase:
Patrica owns a company Zylker which provides email service and online chat facilities. However, she maintains both in two different accounts in Zoho Desk. She want to select contacts from "Zylker Mail" Account from Zoho Desk for a campaign that is relevant for contacts who are Zylker Mail users.
Solution:
She can create a view in your Zoho Desk giving criteria as contacts who belongs to Zylker Mail account namely "Zylker Mail". Then, she can choose that custom view while creating Account sync with Zoho Desk to sync contacts from Zylker Mail only. Then, she can send the campaign to the specific set of contacts.
Field Mapping
You can map your Zoho Desk fields to Zoho Campaigns fields in this section. Basic details such as email address, first name and last name are pre-mapped. Mapping the email address field is mandatory for Zoho Campaigns. You can map additional fields by clicking on Map more link. Once done, click Initiate.
Sync detail view
- From the Navigation bar, click Contacts and select Sync services.
- Navigate to Zoho Desk Sync setup and click Active syncs.
- Select a sync and click View details.
You can view the sync details like mapped list, module name, mapped fields, sync time zone, last retrieval time and retrieval type. The sync remains active till the completion of contact import for one-time import of data. In case of periodic sync, the sync remains active till the set period.
Edit field mapping
You can re-map or map more fields for your sync settings by choosing the Edit mapping in the Edit drop down. If all data sync is initiated, then users have to wait till the next sync fetch time for the mapping to be updated.
Edit retrieval details
You can edit the retrieval details such as retrieve interval, data to be retrieved and sync contacts configuration by choosing the Configure retrieval details in the Edit drop down.
Import details/history
Use this option to get a detailed history of the contacts synced from Zoho Desk to Zoho Campaigns. You can see this in the detailed view of the sync.
