Introduction

To handle invoicing, billing and payments, Zoho FSM has inbuilt integration with Zoho Books. This will allow you to conveniently and quickly create invoices for your work orders and offer a secure way to your customers to make payments. Thus your billing times are greatly reduced, resulting in immediate payments and realization of revenue. The integration also provides syncing of crucial data between FSM and Books. Above all, the different region-specific tax systems supported by Books can be incorporated into FSM.

Books Account Creation

When you create a FSM account for your organization, a Books account also gets automatically created for the Admin. Among the information gathered during the initial set-up, the following will be used for creating the Zoho Books account:
  1. Organization details
  2. Time and language settings
  3. Tax Rate(s)


The taxes defined here will be set in Books and can be edited later at Settings > Taxes in Zoho Books.

Sync Settings

The details of the Zoho Books - FSM sync settings can be viewed at Setup > Integrations > Zoho Books.

Following options are available for mapping the entities in Zoho FSM with those in Zoho Books:
  1. Map the Customer in Zoho FSM to the Customer in Zoho Books.
  2. Map the Company in Zoho FSM to the Customer in Zoho Books.
  3. Map the Company and Customer in Zoho FSM to the Customer and Contact Person in Zoho Books respectively.
  4. Map the Company and Customer in Zoho FSM (Company not mandatory) to the Customer and Contact Person in Zoho Books respectively. If the Customer is not associated to a Company in FSM, then the Customer in Zoho FSM will be mapped to the Customer in Zoho Books.
  5. Map the Service and Parts in Zoho FSM to the Items in Zoho Books. 
Also, based on these settings, the appropriate fields will be displayed in the pages where these entities are used. The details will be covered in the respective help pages wherever the display of fields is contingent on these field mappings.



Click View Mapping to view the field mapping between the Zoho FSM and Zoho Books fields.

Fetch data from Books

When you create (or quick create) a Service/Part in FSM, then a search will be performed for matching Items created in Books with same Service/Part Name. As you type in the Service Name (min three chars), a message will be displayed. Users can click the link in the message to fetch these Item details.



In the Import Products pop-up, click on the Product whose values you want to fetch.



The details of the selected Product will be populated in the Create Service/Part page. Users can edit these values or use them as is.


Push data to Books

During Invoice creation, a check will be performed to ascertain whether the Customer, Company, or Services and Parts in the work order are present in Books. If either of them are not present, then new records will be created in Books for these values.

Services and Parts from FSM will be created as Items in Books. Refer screenshot below.



Companies/Customers in FSM created as Customers/Contact Persons in Books. Refer screenshot below.



The invoices created for the work order can be viewed in Books as well. Refer screenshot below.


Editions

Zoho FSM supports taxes for your transactions, with region-specific tax rules. With respect to tax systems, Zoho FSM provides support for the following regions:
  1. Australia
  2. Canada
  3. India
  4. USA
  5. UK
  6. Global Edition
You can choose the preferred edition by selecting the appropriate country during the initial set-up.
