Kanban Board

When a business project becomes big or your team grows, there will be a lot of things for you to manage as a team lead or a manager. Kanban Board for Zoho CRM provides an organized way to keep track of all the required activities and data. It provides you the big picture so that your time and effort is not spent in tracking where each deal is in the pipeline or how many tasks are pending by your team.

Kanban Board lets you create multiple boards based on a module's list view or ownership of records. Based on any one of the pick list fields, it segregates the data into columns for an easy view. Kanban Board can be created not only for the standard modules but for custom modules also. Additionally, when you are using extensions such as that for Zendesk, SurveyMonkey, etc., you can create a board for the data from the third party software too.


Install Kanban Board extension

You can either go to the Zoho Marketplace and install the Kanban Board extension or log in to your Zoho CRM account and install the extension. On installing, the extension will be available for all the users in the Zoho CRM's organization account. All the users can access the Kanban Board tab and create boards.

To install the extension
  1. Go to Setup > Marketplace > All.
    All the installed extensions are listed. Under All Extensions you can view all the extensions supported in CRM.
  2. Click All Extensions, browse and click Kanban Board.
    The details about the extension will be available.
  3. Click Install Now.
  4. Choose one of the following and click Confirm.
    • Install for admin only - The extension will be installed in CRM for only the users with the administrator profile.
    • Install for all users - The extension will be installed in CRM for all the users. Users need to have an Kanban Board account to use this feature.
    • Choose profiles - The extension will be installed in CRM for all the users. You need to choose this option, click Continue and then select the profile
      The extension will be installed automatically for the specified users.

Create a new Kanban Board

You can create a Kanban Board for any module and group the columns by pick list fields. For example, a board for all the leads that were gathered in a trade show and the follow-up status of the leads. The brief information about each record that is displayed in the Board can also be customized and selected as per your requirement.

From a board, you can do the following:
  • Create a record - You can create a record for the same module based on which the board is created.
  • Move records to another column - This means you can just drag and drop a record and update the field value. The record gets updated based on the column you move it to.



  • Delete a record - By clicking on this icon () the record will be deleted.
  • View a record's details - Access the full details of a record by clicking on it.
To create a Kanban board
  1. Click the Kanban Board module.
  2. Select the drop-down list and click Create Kanban Board.



  3. In the pop-up box, do the following:
    • Enter a Board Name.
    • From the drop-down list, select the Module for which you need to create a board.
      Custom modules will also be listed here.
    • Select a pick list fields from the Group By drop-down list.
      All the pick list fields from the selected module will be listed.

    • Select the corresponding checkbox if you want to Make Kanban Board visible to everyone.
    • Under Filter By, choose Records or List View. Based on your selection, records will be displayed in the Kanban Board.
    • Select the Card Title, Card Name, and Card Tags. These are the values displayed in the record's summary in the Kanban Board.
    • Click Save.

Edit or Delete a Kanban Board

From the list of Kanban Boards, you can select one to view and edit it too.

To edit or delete a Kanban Board
  1. Click the Kanban Board module.
  2. Select a board from the drop-down list.
  3. In the pop-up box, make the necessary changes and click Save.
  4. Click the Delete link.

Uninstall the extension

When you wish to uninstall Kanban Board extension, please note that all the boards will be deleted along with the Kanban Board Tab.

To uninstall the extension
  1. Go to Setup > Marketplace > All.
    All the installed extensions are listed. Under All Extensions you can view all the extensions supported in CRM.
  2. Browse for Kanban Board and click the corresponding Uninstall link.
  3. Click Ok to confirm.
