MS Outlook Plug-in - An Overview

The Zoho CRM Plug-in for MS Outlook is a productivity-enhancement plug-in for synchronizing the contacts, tasks and events between Zoho CRM and Microsoft Outlook. The Zoho CRM Plug-in for Microsoft Outlook is available for both Windows and Mac users.

Features available in Zoho CRM Plug-in (Windows Users)
  • Synchronize contacts, calendar events and tasks automatically from Microsoft Outlook to Zoho CRM.
  • Associate MS Outlook inbound and outbound emails with Leads, Contacts or Deals in Zoho CRM.
  • Add email message and file attachments to the Lead or Contact in Zoho CRM without modifying the original message in Microsoft Outlook.
  • Export contacts, calendar (events) and tasks from Microsoft Outlook to Zoho CRM.
  • Add emails as Cases to Zoho CRM.
  • Resolve conflicts while synchronizing contacts, calendar and tasks with Zoho CRM so that there is no duplication of customer data

Advantages of MS Outlook Plug-in

Stay signed in to the Zoho CRM Plug-in
Every time you open MS Outlook, you need not sign in to the Zoho CRM Plug-in. You will be automatically signed in to the plug-in.

Automatic synchronization of contacts, tasks and calendar events from MS Outlook to Zoho CRM. 'Allow the changes made in the Outlook contacts/tasks/appointments to reflect in Zoho CRM' - Select this option and all your contacts, tasks and calendar events will be automatically synchronized from MS Outlook to Zoho CRM.
Also, you can now specify the Folder and Category details in the Contacts, Tasks and Calendar tabs, separately. 
Associating outgoing emails from MS Outlook to the related leads/contacts in Zoho CRM.Earlier, you needed to search a CRM record and then add an email to the selected records. Along with that option, there are two additional ways to add emails to the leads and contacts.

  • Add Email option  - Just one click, and the selected email will be added to the lead/contact in CRM.
  • Automatically add outgoing emails  - On sending an email from MS Outlook, it will be automatically added to the matching contact/lead in Zoho CRM.

Based on the specifications provided in the Mail Settings the emails will be added to Zoho CRM. These settings will tell you which record the email should be associated to.

The image here clearly highlights the mail settings we have in the Plug-in. Instead of searching the CRM record, you can leave it to the mail settings to automatically search and associate the emails to the leads and contacts in Zoho CRM.
