My profile

In the My Profile section, you can view and edit details such as your personal information; working hours, including special working hours and time-off; services assigned to you; the Booking URL to book the services offered by you and settings for that booking page; and calendars enabled for you.

To access the "My Profile" section, click My Profile on your Bookings home page. 
 

General Information

  1. Super Admins can edit all fields except Email Address, Role, and Status. Managers and Staff are restricted from editing the Date of Birth field in addition to the ones mentioned earlier.

  2. "Designation" and "Role" are two different concepts. Different roles come with different sets of permissions, while the designation is simply an official title for the staff member.

  3. The "Status" field can be marked inactive from the Staff section, depending on your role.

Working Hours

  1. Customize Working Hours ( applicable only to Super Admins and Admins )
  1. Check "Customize working hours" to set any working hours for staff that are different from the usual working hours. 


  2. On the "Edit Working Hours" page, set the new working hours, then click Save


  3. The customized working hours will be displayed, which can be edited again if required.


  4. For Managers and Staff, working hours can be customized by Super Admins and Admins from the Staff section
  1. Special Working Hours
  1. To add special working hours—for example working hours on weekends—click ADD


  2. On the next screen, enable "All-day Availability" and select the From and To dates or disable "All-day Availability" and select the From and To date-times. Enabling "All-day availability" will release all time slots for the entire day of the selected dates. Click Save


  3. The hours added by you will be listed and can be edited or deleted if required.

  1. Time Off 
  1. To block slots or to add Time Off hours for the selected staff, click Add


  2. "Time Off" lets you specify the From and To dates. "Block Time" is to specify a single date. Enable "All-day Unavailability" and select the From and To dates or disable "All-day Unavailability" and select the From and To date-times. Enabling "All-day Unavailability" will block all time slots for the entire day of the selected dates. Click Save.


  3. The hours added by you will be listed and can be edited or deleted if required. 


  4. Block Times will not be listed here and will instead be displayed in the calendar.

Assigned Services

  1. This section displays the services assigned to the selected staff. 

Staff Booking URL

  1. This section displays the URL with which services offered by the selected staff can be booked. The last segment of the URL can be customized by Super Admins and Admins by clicking Customize


  2. You can also use a custom domain for the booking URL.

Embed As Widget

  1. Embed the booking page on your website using the iframe snippet, which is available by default for every staff you add. This booking page will be used by customers to book services offered by you.

Manage Calendars

This section will be visible if a calendar is enabled for you.
  1. This section lets you authenticate your enabled calendars so that they're synced with your Bookings account. This will let you take appointments only for slots that are available in your calendar. Additionally, your appointments through Zoho Bookings will get updated in those calendars.

  2. To sync your calendar, click Authorize and follow the steps for authentication.

Note: Authentication steps will vary for the different calendars. 
  1. Once the calendar is authenticated, you can select the sub-calendars in which you want to check the availability before a booking is made through Zoho bookings or to add slots booked from Zoho Bookings. Super Admins and Admins can also select the staff member whose bookings will be synced with the calendar. Click Proceed.

      
  2. Super Admins and Admins can add more calendar accounts by clicking Add Account


  3. Click the Sync Now button to re-sync the latest appointments.


    Default sync frequency: 
  1. Google Calendar - Synced instantly
  2. Zoho Calendar - Every hour
  3. Zoho CRM Calendar - Synced instantly if plugin is installed. Otherwise, synced every hour.
  1. Super Admins and Admins can choose which staff members can sync their zoho calendars with Zoho Bookings by clicking the settings icon.
  1. Turning off the the Sync toggle will disable the automatic syncing. However, you can click Sync Now and sync the appointments manually. 

  2. The calendar will get listed, and the following actions can be performed on it:
  1. Edit - To edit the sub-calendars with which bookings will be synced.
  2. Re-authorize - To authenticate the calendar again—for example when you reset the password for the calendar.
  3. Remove - Delete the calendar from the account.

Calendars synced by Managers and Staff will be visible to Super Admins and Admins in their accounts. Additionally, if a Super Admin or an Admin adds their own calendar and associates it with a different staff, the associated staff will be able to see this setup in their own account.
