Introduction

Resume Inbox is a user-friendly parsing tool that enables you to automatically parse resumes sent as email attachments and add them directly to your Zoho Recruit account. Add multiple email accounts as resume inboxes and select from one of three Parsing Modes: LenientModerate, and Strict, each with varying accuracy and success rates. 

The Parsing Mode functionality lets you control the accuracy and success rate of your parsing results. Each parsing mode looks for a set of predefined field values in candidate record attachments. The fields that the parsing mode specifies may not be a mandatory field, but the parsing will still fail if the required data is unavailable (subject to the AND/OR conditions depicted under the mode selection section).

Configuration

  1. Go to Setup > Resume Management > Resume Inbox.
  2. Click on Add Account under Email Accounts (If you wish to add a custom resume inbox).

  3. Select the Email Address and Parse Folder for your Custom Resume Inbox.
  4. Under the Duplicate Check section, select Overwrite existing candidate data or Retain existing candidate data to perform the related action when duplicate records are found. Duplicate records are identified using the email id provided in the resume. 
  5. Choose a Parsing Mode and balance the accuracy and success rate of your parser. You have three Parsing Modes, namely, Lenient, Moderate & Strict.

  6. Under Candidate Source Mapping, select the source of the candidate and select the status of the parsed candidate under Candidate Status Mapping
  7. Click Save.

Your Resume Inbox is now configured. You'll now be able to add candidate records into your Zoho Recruit account by parsing resumes sent as email attachments. You can view the candidate record you that was added and the reason of failure if the parsing is unsuccessful under the Parsing Results tab.

Parsing Results

The Parsing Results section displays all the resume attachments you've parsed using the Resume Inbox feature. The Parsing Results section is divided into three subsections, namely, All, Success and Failure

Under the All subsection, you'll be able to view all the resume attachments that were parsed in your resume inbox. 

Note:
  1. Subject will only be displayed for successfully parsed attachments.
  2. You can filter by user using the user drop-down.
  3. You can filter by time period using the Select Period drop-down

Attachments that couldn't be parsed successfully will be listed under the Failure subsection.

You can select a different Parsing Mode and reparse the attachment by clicking on the Parse button. 

To Add Candidates with Job Association

In Resume Inbox, a candidate is associated with a job opening based on the subject line of the email you received.

Required data: 

  1. JobID (or) JobTitle
  2. Source(optional)

The format should be as follows:

  1. JobID, JobTitle, or both (value and title).
  2. 'JobID' or 'JobTitle' should be followed by a colon (:). You may or may not provide space in between the terms.
  3. After the colon, the respective value should be mentioned followed by a comma (,). For example, "JOBID:ZR_2_JOB, JOBTITLE:Web Designer, SOURCE:Indeed"
  4. If the source is mentioned in the subject, it should follow the format mentioned above (source: _____,).
  5. If the source is not mentioned in the subject, the default source configured in the Resume Inbox Settings page will be used. In case the source is also not configured in the Resume Inbox Settings page, then the source of the parsed candidate will be automatically set as 'Resume Inbox'.
  6. The keywords along with their respective values don't need to be entered in any specific order.

Sample Subjects:

  1. SUBJECT: Seek: Application For JobTitle: B2B Telesales Professional - Part-Time, Ref: Application Source: Seek
    Any content may come before, after or in between as long as they are separated from the keywords (jobtitle, jobid, source) by a comma.
  2. SUBJECT: Monster: Application For JobTitle: Web Designer - Part Time, Source: Monster.
  3. SUBJECT: Source: TimesJobs, Application for JobId: ZR_24_JOB
  4. SUBJECT: Alert: New Candidate Applied for Your Job Posting JobId: ZR_24_JOB
  5. SUBJECT: Job application for your Job Posting with jobtitle: Senior Consultant, from source: Dice
