Set Team Permissions

File Conversion

In Zoho WorkDrive, you can choose at a team level whether newly uploaded files are automatically converted to the appropriate Zoho WorkDrive format (Writer, Sheet, or Show) or not, and whether the Team Folder admins can access this option in their Team Folders.

To choose file conversion settings:
  1. Click your team name at the top-left corner, then select Admin Console. The Admin Console page will open in a new tab. 
  2. Select the Settings tab in the left panel to open it on the right. 
  3. Select Content.



  4. Toggle Convert All Files to Zoho WorkDrive's Format on Upload on or off to enable or disable file conversion.
  5. Select the checkbox if you want to allow Team Folder Admins to choose whether to convert all files to Zoho WorkDrive format on upload in their Team Folders.
You can upload files in .docx, .pptx, or .xlsx format, and preview them in Zoho WorkDrive. To edit these files, you need to convert them to Zoho WorkDrive format.

Creating public Team Folders

Decide who should be able to create public Team Folders in your team using our enhanced settings.

To set permission on creating public Team Folders:
  1. Click your team name at the top-left corner, then select Admin Console. The Admin Console page will open in a new tab. 
  2. Select the Settings tab in the left panel to open it on the right. 
  3. Select Roles and Permissions and enable one of the following settings:
  • Team Admins Only - With this setting, only Team Admins can create public Team Folders. This way, admins get better control over the number of public Team Folders created in the team.

  • Anyone on the Team - With this setting, any team member can create public Team Folders. This encourages members to give shape to their ideas and thought processes.


You can also view the list of roles within Team folders and their respective permissions for reference.

External Sharing

Share files with clients or partners outside your team and allow your team members to exchange ideas by enabling share settings. Disable them to prevent your company's data and team files being shared outside your team.

To set permission on external sharing:
  1. Click your team name at the top-left corner, then select Admin Console. The Admin Console page will open in a new tab. 
  2. Select the Settings tab in the left panel to open it on the right. 
  3. Select Sharing.
  • If you want to make sure that none of your team files go outside your team, turn this setting off.
  • If you have clients or partners outside your team with whom your team members may need to share files, turn this setting on.
