Setting up privacy and terms for your event

Set up a privacy policy and terms of use for your event to make sure that your event participants are aware of the rules and regulations they have to abide by at your event. This is also a tried and trusted way to avoid legal liabilities.

Add privacy and terms

Add a legal contract that states the rights and responsibilities of your organization to your event and protect yourself against liabilities.

  1. Go to the Design tab in your Microsite Builder.
  2. Click the Settings icon in the left pane.
  3. Click the Add Terms link in the Privacy and terms section.
  4. Add a name for the privacy and terms in the Configuration name text box.
  5. To add terms of use for your event:
    1. Select the URL radio button in the Terms of use section to add a link to the terms of use. Paste the URL in the box below.
    2. Alternatively, select the Upload radio button in the Terms of use section to upload the file from your computer.
  6. To add a privacy policy for your event:
    1. Select the URL radio button in the Privacy policy section to add a link to your privacy policy. Paste the URL in the box below.
    2. Alternatively, select the Upload radio button in the Privacy policy section to upload the file from your computer.
  7. Customize the phrase in the Message text box to which your terms of use and privacy policy will be linked to.
  8. Click OK.

Change the default privacy and terms

Terms and conditions and privacy policies might also have variations based on the geographical location and the type of event. Have different policies that cater to different scenarios to help you cover your bases. Make the terms and conditions that best suit your event, and pick from the ones you've added to your portal.

  1. Go to the Design tab in your Microsite Builder.
  2. Click the Settings icon in the left pane.
  3. Click the Change button in the Privacy and terms section.
  4. Choose terms and conditions from the dropdown in the Configuration name text box.
  5. Click OK.

Set visibility preferences for the terms and conditions

Make sure your attendees read and agree to your privacy and terms by making it a mandatory step in your registration process. Your privacy and terms will give them an idea of what to expect, and what to do at the very beginning of your association itself.

  1. Go to the Design tab in your Microsite Builder.
  2. Click the Settings icon in the left pane.
  3. Select the Display link for privacy and terms in your event checkbox to make the privacy and terms visible to attendees.
  4. Enable the Microsite footer toggle to show your privacy and terms in the footer of your event's microsite.
  5. Enable the Ticket checkout form toggle to show your privacy and terms when someone registers for your event or purchases a ticket.
