Step 4: Configure Email and SMS Notifications

How can I:
  • Configure in-product notifications
  • Set up email and SMS notifications for staff
  • Set up email and SMS notifications for customers

To configure real-time in-product notifications:
  1. Click on the Manage Business icon on the top panel of Zoho Bookings. Note that General is selected by default.
  2. Click In-product Notifications.
  3. Select the checkboxes for when you want to receive alerts. These alerts will show up on the top panel of Zoho Bookings.

In addition to real-time alerts, you can also configure email and SMS notifications for staff and customers associated with a specific workspace.


To set up email and SMS notifications for staff:
  1. Click the Manage Business link on the top panel of Zoho Bookings.
  2. Note that the General tab is selected by default.
  3. Click Workspaces, then choose a workspace.
  4. Click Notifications. Note that the For Staff tab is selected by default.
  5. Select the checkboxes against the email and SMS options. Note that the SMS option will be available only if you've configured it in the Integrations tab. 
  6. Click the Customize link that appears to edit the content of the notification.

While customizing the email and sms content, you can make use of pre-defined variables which store useful information like staff name, customer name, appointment id, customer email, and so on. To view the list of such pre-defined variables, click "Insert Variables" while customizing the email or sms content. To use a particular variable in the content simply click on the variable.

> You can notify your staff:
  • When a customer schedules an appointment
  • When a customer reschedules an appointment
  • When a customer cancels an appointment
  • When you want to alert them about upcoming appointments

To set up email and SMS notifications for your customers,
  1. Check that you're on the Workspaces tab under Manage Business.
  2. Select the For Customers tab.
  3. Select the checkboxes against the email and SMS options.
  4. Click the Customize link that appears to edit the notification.

> You can notify your customers,
  • To confirm they've scheduled an appointment
  • To confirm they've rescheduled an appointment
  • To confirm they've cancelled an appointment
  • To alert them about upcoming appointments


 

To configure SMS notifications:
  1. Click on the Manage Business icon on the top panel of Zoho Bookings.
  2. Note that the General tab is selected by default.
  3. Click Others under the Integrations section.
  4. Choose from the following integrations:
    • Twilio
    • Clickatell
    • Hoiio
    • ClockWorkSMS
    • ScreenMagic
    • Nexmo

To configure Twilio:
  1. Go to Manage Business.
  2. Click Integrations.
  3. Choose Twilio.
  4. Name the integration.
  5. Log in to your Twilio account in a new tab.
  6. Copy the following details from your Twilio account dashboard and paste them into Zoho Bookings:
    • AuthToken
    • Account SID
    • Mobile number - From
  7. Click Setup to complete the configuration.

To configure Clickatell,
  1. Go to Manage Business.
  2. Click Integrations.
  3. Choose Clickatell.
  4. Enter your username and password for Clickatell.
  5. Access Clickatell in a new tab and choose the Communicator/Central option.
  6. Log in to your Clickatell account.
  7. Go to the Developer Central homepage and select the Get another API button.
  8. Choose Add HTTP API in the Messaging APIs section.
  9. Copy the generated API and paste it into Zoho Bookings.
  10. Click Setup to complete the configuration.

To configure ClockWorkSMS:
  1. Go to Manage Business.
  2. Click Integrations.
  3. Choose ClockWorkSMS.
  4. You will need an API. To get the API, log into your ClockWorkSMS account in a new tab.
  5. Choose the Setup API keys option in the homepage.
  6. Enter a name in the API Key name text box and click Add new API key. This will generate an API which Zoho Bookings will use to send SMS notifications.
  7. Copy the API key and paste it in Zoho Bookings.
  8. Click Setup to complete the configuration.

To configure ScreenMagic:
  1. Go to Manage Business.
  2. Click Integrations.
  3. Choose ScreenMagic.
  4. Log in to your ScreenMagic account in a new tab.
  5. Open the Accounts page by clicking the dropdown menu in the top-right corner of the home screen and selecting Account info.
  6. Copy the following information from your ScreenMagic account and paste them in Zoho Bookings.
    • Email address - username
    • Account ID
    • API key
    • Phone number - Sender ID
  7. Click Setup to complete the configuration.
