: Create and Delete Document Folder permissions in the user's profile.

Create Document Folders

Creating folders is the best way to keep your documents organized. You can upload documents to these folders and share the folders with individual users, roles, subordinates, and groups.

To create a folder:

  1. Click the Documents tab.
  2. Click Create and then Folder.
    Alternatively, you can click (the Add Folder icon).
  3. In the Create Folder pop-up, enter a name for the folder.
  4. Choose Only Me if you do not want to share the folder with other users, roles, groups, or subordinates.
  5. Choose Others to share the folder with other users, roles, groups, or subordinates.
  6. Click  (the Add icon) to add users, roles, groups, or subordinates to share the folder with.
  7. Click Create.

Create Subfolders

A subfolder will have the same sharing permission as the folder that it belongs to.

To create a subfolder:

  1. Click the Documents tab.
  2. Move your mouse pointer to a folder.
  3. Click  (the Settings icon), and then click Create Subfolder.
  4. Enter a name for the subfolder and click Create.
    Right-click on the subfolder to rename it, delete it, or to create a subfolder in it.

Rename or Delete Subfolders

Subfolders have the same sharing permissions as the main folder they belong to. You can rename or delete a subfolder but you cannot define its sharing permissions.

To rename or delete a subfolder:

  1. Click the Documents tab.
  2.  Click on the parent folder for the subfolder which needs to be renamed or deleted.
  3. Right-click the subfolder and then click Rename or Delete as required.

Delete Document Folders

You can only delete a folder if you have the profile permission to delete a document folder. When you delete a folder, the files in it will also be deleted and moved to Trash.

To delete a document folder:

  1. Click the Documents tab.
  2. Move your mouse pointer to the folder that you want to delete.
  3. Click  (the Settings icon), and then click Remove.
    The system will request confirmation.
  4. Click OK to delete.
    The folder and all files uploaded to the folder will be moved to Trash.

Note

You cannot recover deleted files and folders once they have been permanently erased from Trash.
